Martine Law, a leading criminal defense and family law firm, is seeking an experienced Operations Manager to join our remote team. Responsibilities:
Management of Core Business Systems:
- Develops, implements, and maintains strategies aligned with Martine Law’s mission in collaboration with the Owner.
- Oversees creation, review, and continual improvement of the firm’s key systems (policies, procedures, templates, scripts, etc.), ensuring smooth operation across areas like client intake, case management, billing, finance,
Finance Accounting:
- Manages financial systems alongside the team, covering billing, trust account management, collections, expense management, accounts payable, and payroll.
- Collaborates with the Owner on budget planning and advises on financial health, proposing solutions to any challenges.
- Oversees financial controls and ensures compliance with best practices for legal financial management.
• Timekeeping Billing:
- Monitors workflow to ensure timely case progression, working with attorneys and staff to enhance efficiency and profitability.
- Designs workflow processes to support high-quality client service, ethical representation, and firm profitability.
- Resolves any escalated client billing concerns with empathy and professionalism.
Human Resources Management:
- Supports recruitment, onboarding, and training for all roles, ensuring alignment with firm culture and standards.
- Oversees HR compliance, employee development, performance management, and, when needed, proper termination procedures.
- Maintains awareness of federal and state employment laws, managing employment-related matters with integrity.
Marketing:
- Collaborates on Martine Law’s Marketing Plan, ensuring its effective execution in line with the firm’s strategic goals.
- Works with marketing vendors to manage client outreach, social media, website updates, newsletters, and media campaigns.
- Assures effective support for new client intake, client relations, and post-representation engagement.
Professional Development:
- Actively participates in training, continuing education, and networking opportunities to further professional growth.
- Promotes a positive culture of learning and development across the firm.
Qualifications:
- Extensive knowledge of law office operations, including finance, HR, workflow, and strategic planning.
- Experience with Lawmatics, Clio and telecommunication VOIPs a strong plus.
- Strong background in budgeting, accounting, and financial management specific to law firms.
- Proficient in personnel management, recruitment, and HR compliance.
- Ability to work closely with the firm’s Owner and take initiative to improve efficiency and client satisfaction.
- High level of organization, attention to detail, and strong communication skills.
- 7+ years of law firm management experience.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Adobe Acrobat, and law firm software.
- Bachelor’s degree required; advanced knowledge of law office management is a plus.
