Job Summary:

If you're looking for a great team of colleagues and interesting work, where no two days are the same, then look no further! UW Veterinary Care is seeking a new team member for their purchasing team to support its expanding operations.

Responsibilities:

Prepares and advises on general financial transactions and reconciles transactions. Creates general reporting on transactions. Maintains financial records, provides administrative processing support, and provides customers service for staff and customers in an assigned program area to support program financial management.
  • 10% Audits, monitors, organizes, and updates fiscal records, reports, and affiliated materials
  • 20% Audits or processes transactions and assigns funding codes in accordance with established rules, regulations, and policies
  • 20% Audits or reconciles original purchase documents with payments
  • 10% Drafts basic communications and reports and maintains organization of varied records to provide administrative support within a specified work unit
  • 20% Answers general fiscal questions and provides information based on set materials and standards to various audiences
  • 15% Support unique purchasing needs of veterinary hospital services
  • 5% Cross-train on other responsibilities of purchasing colleagues

Tasks:

  • Assist with ordering both stock and non-stock (special order) items for hospital services
  • Assist with maintaining adequate/par supply levels in large animal hospital Central Supply, complete stock checks regularly
  • Analyze system inventory reports to anticipate hospital purchasing needs of stock items
  • Provide back-up support of small animal hospital Central Supply, Pharmacy, and Lab purchasing tasks as needed
  • Assist with hospital errands as needed
  • Receive items into hospital inventory and reconcile invoices with university financial systems
  • Assist with inventory cycle counts and adjustments in inventory management system as needed
  • Seek out cost savings on products while maintaining product quality
  • Maintain a UW purchasing card (p-card) and follow all p-card policies and procedures
  • Assist with product returns, recalls, replacements, and repairs
  • Assist with advising hospital staff with purchasing inquiries and advise on purchasing policies and procedures
  • Manage Purchase Orders (POs) for areas of responsibility
  • Other duties as assigned

Education:

Required

Qualifications:

Requires advanced customer service skills, problem solving and negotiation skills. Knowledge of UW and State purchasing policies and procedures strongly preferred. Highly qualified candidate will have knowledge of inventory control processes and modern accounting principles and practices including appropriate control systems and on-going audit processes. Minimum 2 years professional experience with inventory and/or financial systems preferred. Experience with UW-Madison financial systems desired.

Work Schedule:

Monday-Friday, 8AM-5PM; 1 hour for lunch

Potential for on-call hours, as required by the hospital

It is anticipated this position requires work be performed in-person, onsite, at a designated campus work location.

Minimum $17.00 Maximum $27.00 HOURLY
Depending on Qualifications
Sign on bonus of 3% of base pay (based on FTE) to be paid over the first year of employment

Requires the ability to lift up to 50 lbs.
